How BooksCaughtUp collects, uses, and protects information submitted through this website and during engagements.

BooksCaughtUp ("we", "us", "our") provides back-office accounting support services to accounting professionals. This policy explains what information we collect through bookscaughtup.com (the "Site") and in the course of providing services, and how we handle it.
1. Information we collect
Information you submit. When you use the contact form, we collect the firm name, your name, your work email address, the service you are interested in, and any message you include.
Engagement information. When your firm engages us, we may receive access to accounting files, financial records, and supporting documents belonging to your firm and its clients. This information is handled under the terms of the engagement and any non-disclosure agreement in place.
Technical information. Like most websites, our hosting provider may log standard technical data such as IP address, browser type, pages visited, and referring pages for security and performance purposes.
2. How we use information
- To respond to inquiries and prepare scope reviews and quotes
- To deliver the accounting services your firm has engaged us for
- To communicate about active engagements
- To maintain the security and performance of the Site
We do not sell personal information. We do not use information received during an engagement to market to your firm's clients, and we do not contact your firm's clients except as directed by your firm.
3. Contact form processing
Contact form submissions are processed by a third-party form service (Formspree) and delivered to our email. Formspree's handling of that data is governed by its own privacy policy.
4. Client data during engagements
Access to accounting systems is granted and controlled by your firm and can be revoked at any time. We work inside your systems wherever possible and do not download client data unless required for the engagement and agreed with your firm. Documents are exchanged through your firm's secure portal or drive where one is provided.
5. Data retention
Inquiry information is retained for as long as needed to respond and, if an engagement follows, for the duration of the relationship. Engagement workpapers are retained in line with the engagement terms and professional standards, after which they are deleted or returned.
6. Cookies
The Site does not set tracking or advertising cookies. Google Fonts are loaded from Google's servers to display the Site's typography; Google's privacy policy applies to that request.
7. Your rights
You may request access to, correction of, or deletion of information we hold about you by emailing hello@bookscaughtup.com. We will respond within a reasonable period.
8. Changes to this policy
We may update this policy from time to time. The date at the top reflects the latest revision.
