Questions Firms Ask Before They Send the First File

Working With Us

Will you ever contact or market to our clients?

No. BooksCaughtUp works only with accounting professionals. We do not market to end clients, and we do not contact your clients unless your firm specifically asks us to. Every client relationship remains yours.

Is there a minimum commitment?

No. You can send a single ad hoc task, one cleanup project, or one client. Many firms start with one difficult file and expand from there once they see how the handback works.

Can you work white-label?

Yes. Work is done under your firm's accountant access, notes follow your templates, and no BooksCaughtUp branding appears in anything the client sees. If a client asks who did the work, the answer is your firm.

What if we already have bookkeepers?

Then we are usually most useful as a review and finalization layer, or as overflow during busy periods. Many firms keep their bookkeepers on day-to-day work and send us the cleanups and the pre-tax review.

Which types of firms do you work with?

CPA firms, accounting firms, bookkeeping firms, and tax firms that have accounting work. Firm size ranges from solo practitioners to multi-partner firms. If you serve business clients and need accounting capacity, you are the right fit.

Scope, Pricing, and Turnaround

How is pricing structured?

It depends on the engagement. Defined projects such as cleanups and catch-ups are usually quoted as a fixed fee after scope review. Ongoing and overflow work can be hourly or per client. Either way, you receive a clear quote within 24 hours of sharing the file, with no obligation.

Why are there no prices on the site?

Because a two-year catch-up with one bank account and a two-year catch-up with six accounts, payroll, and inventory are not the same job. Publishing one number would either overcharge the first firm or undercharge on the second. Scope review takes one business day and costs nothing.

How long does a cleanup or catch-up take?

Most single-entity catch-ups of one to two years are completed within two to four weeks once we have the information. Complex cleanups depend on how many accounts are broken and how quickly the client provides missing documents. The scope review includes an estimated turnaround.

What do you need from us to start?

Accountant-level access to the file, any prior workpapers or bank statements you already have, and a short note on what the file is needed for and by when. If you are unsure what to send, send the file and we will tell you.

Can you handle rush work during tax season?

Yes, within reason. Tell us the deadline in the first email so the scope review reflects it. Rush turnaround is quoted separately when it requires prioritizing your file over scheduled work.

Security and Process

How do you handle data security and confidentiality?

We sign an NDA before any file is shared. We work inside your accounting software through accountant-level access you control, so client data never has to leave your systems. Access can be granted and revoked by your firm at any time.

What does the review handback look like?

You receive the completed work inside the file, a summary of what was done and why, reconciliation support, and an open-items list of anything still needed from the client. Your reviewer should be able to pick it up without re-doing the work.

How do we communicate and track work?

We fit into your firm's existing tools, whether that is email, Slack, Teams, TaxDome, Karbon, ClickUp, or a shared spreadsheet. We provide overlap with US business hours for calls and same-day responses on active engagements.

What software do you work in?

QuickBooks Online, QuickBooks Desktop, Xero, and Wave are the core platforms, with QuickBooks Online ProAdvisor, Xero Advisor, and Bill.com certifications on the team. We also work with common add-ons such as Gusto, and in Excel or Google Sheets workpapers. If your firm uses something else, ask.

What happens if we find an error in your work?

Tell us and we fix it, at no charge. The handback is not marked final until your reviewer signs off, and revisions after review are part of the engagement.
