Catch-Up Bookkeeping

Months or Years of Books Behind? We Bring Them Current.

A new client walks in with two years of untouched transactions and a tax deadline. Your team does not have the hours. We do. Send us the file and we bring it current, reconciled, and documented for your review.

When to Use This

When firms send us catch-up work

  • A new client arrives with one to five years of books that were never done, or were abandoned partway
  • An existing client stopped sending documents and the file is now a year behind
  • The tax preparer needs a full year of clean books and there are three weeks to go
  • A bookkeeper left mid-year and the file has been sitting untouched since
  • A client is applying for financing or selling the business and needs historical financials
Scope

What catch-up bookkeeping includes

  • Import and categorize all bank, credit card, and loan activity for the periods behind
  • Reconcile every bank, credit card, and loan account to statements
  • Record payroll from provider reports, including liabilities and employer taxes
  • Book sales tax, merchant fees, and platform payouts (Stripe, Square, Shopify, Amazon) correctly
  • Set up or correct fixed assets, loans, and owner equity accounts
  • Identify and list missing statements, invoices, and documents needed from the client
  • Produce year-end financial statements ready for your review
Process

How the engagement runs

1

Scope the gap

We confirm which periods and accounts are behind, what documents exist, and what the file is needed for. You get a fixed quote within one business day.

2

Gather and import

We pull bank feeds or statements for the full period, working from your firm's document portal or the client's bank exports.

3

Categorize and reconcile

Every account is reconciled to a statement. Unusual items are queried, not guessed. Client questions are batched into one list for your team.

4

Finalize and hand back

You receive reconciled books, financial statements, reconciliation reports, and the open-items list. Nothing is final until your reviewer signs off.

FAQ

Common questions

How long does a one-year catch-up take?

For a typical single-entity service business with one or two bank accounts, two to three weeks once we have access and statements. Larger or multi-account files are scoped individually.

What if the client cannot find old statements?

We list exactly what is missing by account and month so your team can request it once. Most banks provide up to seven years of statements online.

Do you also handle the prior-year tax adjustments?

Yes. If the prior return was filed on numbers that do not match the books, we reconcile the opening balances to the return and document the adjustments separately for your tax team.

Can you do catch-up in QuickBooks Desktop or Xero?

Yes. QuickBooks Online is the most common, but we work in QuickBooks Desktop, Xero, and Wave as well.
